Rental Applicant Privacy Notice
How your personal data is handled when you apply to rent a property managed by Propevo. This notice sits alongside our Privacy Policy, which covers everything below in more detail; where this notice is silent, the Privacy Policy applies.
1. Who is responsible
The property owner is the data controller for your application: they decide who to let the property to. Propevo processes your application on the owner's behalf and operates the online application form. For two things only — contacting your current employer or landlord for references, and contacting you about other properties that might suit you — Propevo acts on the basis of your separate, optional consent, which you can withdraw at any time.
2. What we collect
When you apply, we may collect:
- Your identification and contact details, and your residence or permit status. We ask for permit type, not country of origin.
- Your employment and income information. We ask income as a band, not an exact figure.
- Your household composition (number of adults and children, pets).
- Your current landlord or property manager.
- Your debt register extract (Betreibungsauszug / extrait des poursuites), and any other supporting documents you provide.
- The same categories of information for a co-applicant and for a guarantor, where you provide them.
3. Why we use it, and on what basis
We use this information to assess your application and prepare a possible lease. The legal bases are the steps taken at your request before entering a contract, and the property owner's legitimate interest in choosing a suitable tenant. Contacting your references, and contacting you about other properties, rest on your separate consent.
4. The debt register extract and supporting documents
The debt register extract is a financial-verification document. You submit it through the secure application form. It is stored using access-controlled cloud-hosting and database services under data-processing agreements, shared only with the property owner and with authorised Propevo staff on a need-to-know basis, and is not processed by any AI or automated-decision tool.
If you need to provide a document that reveals sensitive information — for example, a certificate showing receipt of social assistance as an alternative income proof — please email it directly to contact@propevo.com rather than uploading it through the form, and tick the box on the documents step to let us know. We do this so that sensitive documents go to a small set of authorised staff and do not pass through the form's processing chain.
5. Who sees your data
Your application data may be shared with:
- The property owner.
- Authorised Propevo staff handling the application.
- Service providers acting as Propevo's processors under data-processing agreements — cloud-hosting, database, and email services. A current list of sub-processors is available on request from contact@propevo.com.
Your data may be transferred to, stored in, or accessed from countries outside Switzerland, including the United States, under the safeguards described in our Privacy Policy.
6. No automated decisions
Applications are reviewed by people, not by an algorithm. Propevo does not score or rank applicants automatically.
7. How long we keep it
If your application is not selected, the personal data we hold in connection with it — including any document you uploaded — is deleted within 20 business days of the decision; uploaded documents are in any case automatically deleted from our archive within 180 days. If you become the tenant, your data is kept for the duration of the tenancy and as required by law thereafter.
8. Your rights
You can ask to access, correct, or delete your data, object to or restrict its processing, and withdraw any optional consent, by writing to contact@propevo.com. You can also lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC).
Because the property owner is the controller for your application, some requests may be passed to or coordinated with the owner; Propevo will assist with that.
